TRANSACTION MANAGEMENT
BASIC SERVICES FOR BUYERS
  • Pay Agent Contract Services after closing, on the Greensheet / DA

  • Upload all documents into Dotloop

  • Introduction email to client with deadlines, preparations for moving and details

  • Send contract to lender and advise of related contingencies

  • Send contract to settlement company and advise of time frame requirements

  • Monitor all contingencies, add to agent’s calendar and send reminders

  • Complete settlement company agent information

  • Obtain proof of earnest money deposit receipt by title or other

  • Schedule inspections; home, radon, well, septic

  • Schedule WDI, distribute results, send invoice, ensure remediation

  • Contact LA to ensure delivery of HOA/condo docs to buyer

  • Follow up with lender to ensure completed appraisal

  • Follow up with lender to obtain loan commitment letter and send to Listing Agent

  • Schedule final walk through and settlement, coordinated with all parties

  • Send a settlement preparation email to client approximately 1 week prior to closing

  • Ensure delivery of CD 72 hours prior to closing

  • Obtain Preliminary ALTA for agent review

  • Advise agent of missing documents and signatures

  • Complete agent Greensheet

  • Request DA and send to the Settlement Company (n/a in VA)

  • Upload signed ALTA or other settlement docs into Dotloop and send to buyer

BASIC SERVICES FOR SELLERS
  • Pay Agent Contract Services after closing, on the Greensheet / DA

  • Upload all documents into Dotloop

  • Introduction email to client with deadlines, preparations for moving and details

  • Introduction email to Buyer’s Agent as main point of contact

  • Send contract to settlement company and advise of time frame requirements

  • Monitor all contingencies, add to agent’s calendar and send reminders

  • Complete settlement company agent information

  • Obtain proof of earnest money deposit receipt by title or other

  • Order HOA/ condo documents as needed and deliver to the Buyer’s Agent

  • Obtain WDI results, ensure remediation if necessary

  • Follow up with lender to ensure completed appraisal

  • Follow up with buyer agent to obtain loan commitment letter

  • Verify final walk through and notify seller

  • Coordinate and schedule the closing for the seller

  • Advise sellers on terminating utilities, change of address, moving company and final cleaning.

  • Send a settlement preparation email to client approximately 1 week prior to settlement

  • Obtain Preliminary ALTA for agent review

  • Advise agent of missing documents and signatures

  • Complete agent Greensheet

  • Request DA and send to the Title Company (n/a in VA)

  • Upload signed ALTA or other settlement docs into Dotloop, and send to Seller

ENHANCED SERVICES

In this role, ACS acts in a Fiduciary Capacity by handling the entire Post-Contract to Close process allowing the Agent the freedom to move-on to other clients and/or focus on lead generation activities. The LOOP will be handled 100% by the ACS. The only exception is that the agent will continue to handle all physical site visits to include Home Inspections, Re-Inspections, Client Requests to see the home, and, ultimately, the Closing. All of the BASIC SERVICES are INCLUDED as part of the ENHANCED plus the following details:

  • Obtain all missing initials, signatures and required contract docs for clear-compliant file

  • Obtain compliance approval

  • Main “Point-of-Contact" for client and Agent throughout the closing process

  • Complete contingency removals upon request

  • Work with lender/title to ensure CD is signed off 72 hours prior to closing

  • All contingency dates are monitored and handled on behalf of the agent

  • Review Preliminary ALTA /CD for accuracy, ensure errors are corrected and send to client.

  • Addendums and/or Notices: Written, signed by clients and presented

  • Post-closing follow up with final ALTA and  links to agent’s preferred review sites
